Still collecting timesheets by hand?
Backlsh builds timesheets from recorded work activity, so managers review real data instead of reconstructing a week from memory.
Create a downloadable timesheet in three steps
Use it for one employee, freelancer or contractor at a time.
Add the person and week
Enter the employee or contractor name, company or client and the Monday that starts the workweek.
Enter shifts and breaks
Add daily start and end times, unpaid breaks, work type, project and a short task description.
Review and download
Check daily and weekly totals, then copy the summary or download a PDF or spreadsheet-ready CSV.
A more useful weekly timesheet
The original form recorded only daily hour totals. This version captures the context needed to review a real week.
Start, end and breaks
Daily paid hours are calculated from shift times after deducting the unpaid break entered.
Overnight-shift support
An end time earlier than the start time is treated as finishing the following day.
Project and task context
Add the client, project or task description needed for invoicing, approval or internal reporting.
Work and leave types
Mark a row as work, PTO, sick leave, holiday or another paid category.
Optional gross-pay estimate
Add an hourly rate to estimate straight-time gross pay. Taxes, deductions and overtime premiums are excluded.
Multiple exports
Download a PDF for review, a CSV for spreadsheets, copy a text summary or print the result.
How daily and weekly totals work
Assume an employee works 9:00 AM to 5:30 PM with a 30-minute unpaid break Monday through Friday.
Daily calculation
Each shift contains 8 hours and 30 minutes of elapsed time.
The generator displays the result as both a readable duration in the PDF and 8.00 decimal hours in the CSV.
Weekly calculation
| Days | Daily hours | Weekly total |
|---|---|---|
| Monday–Friday | 8.00 | 40.00 |
| Saturday–Sunday | 0.00 | 0.00 |
| Total | — | 40.00 |
If overtime separation is enabled, hours above the threshold are shown separately. The generator does not decide which overtime rule applies.
What should a timesheet contain?
The right level of detail depends on whether the record supports payroll, client billing or internal project reporting.
For employees and payroll
Record the work date, start and end times, unpaid breaks, paid hours and any leave. Managers should review missing or unusual entries before approval.
For freelancers and consultants
Include the client, project, task description and time spent so the timesheet can support an invoice or status report.
For project teams
Use consistent project names and meaningful task notes. This makes weekly totals more useful for budgets, capacity and profitability.
Free timesheet generator FAQs
How do I create a weekly timesheet?
Enter the employee or contractor, choose the week, and record each day’s start time, end time and unpaid break. Add project or task details when required, review the calculated total, then download the PDF or CSV.
Is this timesheet generator free?
Yes. You can complete a weekly timesheet and download PDF or CSV files without creating an account or entering payment information.
Does it calculate hours after breaks?
Yes. Enter the unpaid break in minutes for each workday. The generator subtracts that time from the elapsed shift. Do not deduct a break that should be treated as paid time.
Can it handle an overnight shift?
Yes. When the end time is earlier than the start time, the shift is treated as ending on the following day. For example, 10:00 PM to 6:00 AM is eight elapsed hours before breaks.
Can I download the timesheet as PDF or CSV?
Yes. PDF creates a readable weekly report, while CSV creates a spreadsheet-ready file containing daily dates, work types, start and end times, breaks, projects, notes and calculated hours.
Does the generator calculate overtime pay?
No. It can separate weekly hours above a threshold, but the optional pay estimate uses the regular hourly rate for all paid hours. Use the Backlsh overtime-pay calculator for a separate scenario estimate.
Is my timesheet information stored?
No entries are sent to Backlsh by this generator. Calculations and file generation run in the browser. Closing or refreshing the page clears unsaved entries.
Is this an official payroll record?
Not automatically. Employers may require approval, signatures, specific record fields or retention procedures. Review the generated timesheet against the rules and policies that apply to your workplace.
What is the difference between a manual and automatic timesheet?
A manual timesheet is completed from entered or remembered hours. An automatic timesheet is built from recorded work activity or attendance data, reducing end-of-week reconstruction while still allowing review and correction.
